Metadata that is associated with either an information system or an information object for purposes of description, administration, legal requirements, technical functionality, use and usage, and preservation, plays a critical role in ensuring the creation, management, preservation and use and re-use of trustworthymaterials, including records. Recordkeeping1 metadata, of which one key type is archival description, plays a particularly important role in documenting the reliability and authenticity of records and recordkeeping systemsas well as the various contexts (legal-administrative, provenancial, procedural, documentary, and technical) within which records are created and kept as they move across space and time. In the digital environment, metadata is also the means by which it is possible to identify how record components – those constituent aspects of a digital record that may be managed, stored and used separately by the creator or the preserver – can be reassembled to generate an authentic copy of a record or reformulated per a user’s request as a customized output package.Issues relating to the creation, capture, management and preservation of adequate metadata are, therefore, integral to any research study addressing the reliability and authenticity of digital entities, regardless of the community, sector or institution within which they are being created. The InterPARES 2 Description Cross-Domain Group (DCD) examined the conceptualization, definitions, roles, and current functionality of metadata and archival description in terms of requirements generated by InterPARES 12. Because of the needs to communicate the work of InterPARES in a meaningful way across not only other disciplines, but also different archival traditions; to interface with, evaluate and inform existing standards, practices and other research projects; and to ensure interoperability across the three focus areas of InterPARES2, the Description Cross-Domain also addressed its research goals with reference to wider thinking about and developments in recordkeeping and metadata. InterPARES2 addressed not only records, however, but a range of digital information objects (referred to as “entities” by InterPARES 2, but not to be confused with the term “entities” as used in metadata and database applications) that are the products and by-products of government, scientific and artistic activities that are carried out using dynamic, interactive or experiential digital systems. The nature of these entities was determined through a diplomatic analysis undertaken as part of extensive case studies of digital systems that were conducted by the InterPARES 2 Focus Groups. This diplomatic analysis established whether the entities identified during the case studies were records, non-records that nevertheless raised important concerns relating to reliability and authenticity, or “potential records.” To be determined to be records, the entities had to meet the criteria outlined by archival theory – they had to have a fixed documentary format and stable content. It was not sufficient that they be considered to be or treated as records by the creator. “Potential records” is a new construct that indicates that a digital system has the potential to create records upon demand, but does not actually fix and set aside records in the normal course of business. The work of the Description Cross-Domain Group, therefore, addresses the metadata needs for all three categories of entities.Finally, since “metadata” as a term is used today so ubiquitously and in so many different ways by different communities, that it is in peril of losing any specificity, part of the work of the DCD sought to name and type categories of metadata. It also addressed incentives for creators to generate appropriate metadata, as well as issues associated with the retention, maintenance and eventual disposition of the metadata that aggregates around digital entities over time.

O presente trabalho resulta do estágio realizada na Secretaria Geral do Ministério da Economia e do Emprego. O estágio consistiu na descrição de duas Séries documentais. Com o presente trabalho pretende-se demonstrar a importância do uso das normas de descrição arquivística, mostrando a importância da descrição dos produtores, das funções e das entidades responsáveis pela sua custódia, conjugada com a descrição dos documentos.

Software representations of scenes, i.e. the modelling of objects in space, are used in many application domains. Current modelling and scene description standards focus on visualisation dimensions, and are intrinsically limited by their dependence upon their semantic interpretation and contextual application by humans. In this paper we propose the need for an open, extensible and semantically rich modelling language, which facilitates a machine-readable semantic structure. We critically review existing standards and techniques, and highlight a need for a semantically focussed scene description language. Based on this defined need we propose a preliminary solution, based on hypergraph theory, and reflect on application domains.

Information Science has for its object of study the general properties of information and analysis of their construction, communication and use processes. Organic information, one of the information types, is the one recorded in the archives, which can be split into two distinct groups based on users: current and permanent, used by administrators, historians/citizens, respectively. After defining the information behavior of each group, the articles directs the discussion to the mediation of information in the permanent archives. The interaction between user and information professionals through references services aiming the user needs is presented. In addition, the standards of archival description and the research instruments as tools to reference service are discussed. Moreover, it argues the importance of information technologies and the new possibilities for the promotion of organic information in permanent archives, especially concerning the information architecture of websites and the conversion of the DTD standards of archival descriptions.

Since its emergence as a discipline, in the nineteenth century (1889), the theory and practice of Archival Science have focused on the arrangement and description of archival materials as complementary and inseparable nuclear processes that aim to classify, to order, to describe and to give access to records. These processes have their specific goals sharing one in common: the representation of archival knowledge. In the late 1980 a paradigm shift was announced in Archival Science, especially after the appearance of the new forms of document production and information technologies. The discipline was then invited to rethink its theoretical and methodological bases founded in the nineteenth century so it could handle the contemporary archival knowledge production, organization and representation. In this sense, the present paper aims to discuss, under a theoretical perspective, the archival representation, more specifically the archival description facing these changes and proposals, in order to illustrate the challenges faced by Contemporary Archival Science in a new context of production, organization and representation of archival knowledge.

A presente dissertação de mestrado apresenta o trabalho desenvolvido em torno de um conjunto de fotografias provenientes do Hospital Miguel Bombarda e custodiadas pelo Centro Hospitalar Psiquiátrico de Lisboa. Partindo de uma reflexão sobre a fotografia enquanto documento de arquivo e, por isso, enquadrada num certo contexto que presidiu à sua produção e conservação, pretende-se contribuir para uma melhor compreensão de um conjunto retratos de doentes. Os objectivos deste trabalho passam por procurar compreender as abordagens teóricas relativamente à fotografia enquanto documento de arquivo, reconstituir o contexto de produção da documentação fotográfica seleccionada e perceber de que forma este conhecimento pode enriquecer a leitura das imagens. É apresentada numa proposta de descrição arquivística sob a forma de um catálogo. Pretende-se que a descrição seja capaz de reflectir a investigação efectuada e possa também servir de modelo e ser alargada à restante documentação fotográfica.

O presente Relatório de Estágio descreve as actividades levadas a cabo no Arquivo da Fundação Calouste Gulbenkian em torno do objecto de estudo constituído pelos álbuns fotográficos do Serviço do Ultramar, que se apresentam e caracterizam. Os trabalhos desenvolvidos compreendem a descrição das peças que os compõem, apresentando contributos ao nível da descrição da documentação fotográfica em contexto arquivístico e em complementaridade à existente, com o objectivo de gerar descrições uniformes e coerentes, promovendo uma melhor recuperação e acesso à informação tendo em vista a sua disponibilização ao utilizador. Paralelamente à dimensão arquivística e atendendo ao seu contexto de produção administrativa, são ainda abordados e apresentados aspectos de índole teórica associados à função probatória e papel institucional da produção de imagens com carácter de representação e a sua utilização pela instituição.

Capturing devices, while continually becoming smaller and easier to use, have increased in capacity. They are also more connectable and interoperable, and their propensity to show up where they are least expected is surprising. Despite these advances, the video-capture experience is still frustrating. To achieve success, two issues need consideration. One is to determine what to capture and how, and how to handle the ensuring process required to transform the raw captured footage into a presentable multimedia artifact. Continual query on discourse theory, domain distinctives such as media aesthetics, human-computer interface issues, and multimedia data description standards is also important.

The arrangement and description of archival materials are the nuclear processes of Archival Science that share a common purpose: to represent the archival knowledge. This representation is fundamentally based on the application of the principle of provenance and on the concept of fonds. This paper aims to discuss de archival description facing the changes and ideas of an archival postmodern approach that proposes the concept of fonds and the principle of provenance as conceptual abstraction rather than a physical entity in the representation process. In that sense, it is presented here the theoretical perspectives of Canadian and Australian studies, discussing the theoretical basis of Modern Archival Science, facing the dynamic reality of contemporary record creation.
