Tiedon hallinta varastonhallintajärjestelmän hankinnassa

Diplomityössä toteutettiin varastonhallintajärjestelmän hankinta prosessoimalla tietoa hallitusti varastonhallinnan kehittämiseksi. Kvalitatiivinen tapaustutkimus tehtiin tietojohtamisen näkökulmasta käyttäjälähtöisen C-CEI –menetelmän avulla haastattelemalla ja havainnoimalla tapausyritystä. Haastatteluja tehtiin 10 kertaa. Tutkimuksessa kartoitettiin ja kilpailutettiin kotimaiset järjestelmätoimittajat, joita löydettiin 15. Näistä toimittajista 6 vastasi vaatimuksia ja teki tarjouksen. Tutkimuksen lopuksi tehtiin järjestelmän hankintaehdotus. Tutkimuksen teoreettinen viitekehys koostui tietojohtamisesta, varastonhallinnasta ja ohjelmistotuotannosta. Tutkimuksessa pääkysymyksenä esitettiin miten tietojohtamisen avulla voidaan tukea varastonhallintajärjestelmän hankintaa. Tutkimuksessa havaittiin, että tietojärjestelmän hankinta varastonhallinnan osalta on moniulotteinen liiketoiminnan kehittämistehtävä. Tietojärjestelmähankinta tulisi siten nähdä liiketoimintaa eteenpäin vievänä mahdollisuutena. Lisäksi loppukäyttäjän vaatimusten kartoittamiseen tulisi sitoutua huolella ja suhtautua kriittisesti eri järjestelmävaihtoehtoihin. Vaatimusmäärittelyn asettaminen ja vaatimusten priorisoiminen ovat haasteellisia tehtäviä. Tiedon hallinnan aikana saatiin selville, että loppukäyttäjän vaatimusten mukainen tarjouspyyntö edesauttaa ensinnäkin tarjousten tekemistä mutta myös niiden prosessointia ja analysointia. Vain oikealla tiedolla ja sen yhteyksillä on merkitystä. Tutkimuksen perusteella tietojärjestelmän hankinta suositellaan tehtäväksi hallitsemalla tietoa systemaattisesti erityisesti sen alkuvaiheen aikana. Tietojohtaminen virtaviivaistaa hankkeen etenemistä ja aikataulutusta, vähentää loppukäyttäjän kustannuksia tehokkaalla kilpailutusmenettelyllä, edistää kilpailukykyä ja luo hyvän lähtökohdan koko tietojärjestelmän hankinnan läpiviemiselle ja yhteistyö-suhteen rakentumiselle kauppakumppaneiden välille.

In this study, procurement of a warehouse management system was accomplished by controlled processing of knowledge, with the aim of developing warehouse management. The qualitative case study was performed from a knowledge management perspective with the C-CEI method by conducting ten interviews and observing the target company. A general survey of domestic system providers was performed to determine their applicability for the task. 15 providers were found, out of which 6 fulfilled the set criteria and submitted a tender. A suggestion concerning the procurement of a system was made at the end of the study. Knowledge management, warehouse management and software engineering provided the theoretical framework for the study. The main research question was how the acquisition process of a warehouse management system can be assisted by knowledge management. The study showed that the procurement of a warehouse management system is a business development task of complex nature. Therefore, the procurement process should be viewed as a possibility for developing the business. In addition, investigating the requirements set by the end user should be fully committed to and the different systems available should be critically scrutinized. Requirement analysis and prioritizing are challenging tasks; in the process of knowledge management it occurred that an invitation for tender that corresponds to the requirements of the end user provides a solid foundation not only for submitting tenders but also for processing and analyzing them. The results of the study suggest that using systematic knowledge management is advisable in the process of data system procurement, especially in the initial phase. Knowledge management streamlines the project’s progress and scheduling, reduces the costs for the end user by efficient competitive tendering, improves competitiveness and creates a basis for the entire procurement process of a system and for forming a co-operative relationship between the trade partners.
